The biggest problem with touring artists is the tour. Ghost Tech is the technology platform that allows tour managers to have a personnel directory, real-time collaboration, live reminders and alerts, as well as data security and auto-backups.

 

When Ghost Tech was being created the world underwent COVID-19, to say that foreveer changed live events is an understatement. We partnered with SaferMe (a predictive safety system and contact tracing device company) to integrate their security layer to give venues, tour employees, and concert goers a way to ensure their safety from illness while taking part in live shows.

 

THE PROBLEM

  • Leverage SaferMe’s existing tech stack to move quickly while creating the GhostTech layer for music, film, large-gathering attendee and crews.
  • There was not an end-to-end touring platform in existence at the time that. Touring managers need to understand the venue’s set up and often had to arrive early to risk going in blind.
  • Each tour employee and manager would keep it’s financies in check using whatever tools they had available, some, we found, even kept paper receipts for a whole tour before submitting them for their taxes. This was cumbersome and very time consuming.
  • Tracking personnel was done by a simple Google sheet for many tour managers and our competitaors had a section to add personnel but it was a manual process.
  • At the time, COVID-19 was running rampant throughout cities. Live music and venue gatherings were thought of as a thing of the past. Many locations feared losing their businesses and many workers wondered what their future held.

 

CONSTRAINTS

  • An ambitious roadmap of a year from concept to launch.
  • Legal constraints and partnership timeline agreements with UCLA, CDC, etc.
  • Engineering all to be scalable for all size tours and organizations.

 

GOALS

  • A secure system to manage all crucial data – this was an industry first and unprecedented.
  • Creation of contact tracing using exclusive wearable technology, in real time.
  • Hyper focus on ease-of-use on data management (input, output, and tracking) as well as rapid updates on crew health inputs while maintaining individual level data security.
  • Build to be measurable, predictable, trackable, and insightful. These are the four core values that we wove into a seamless application.

Impact and Outcomes

A multi faceted approach was taken to meet the challenges and complexities to restart of live events and touring. The Ghost Portal is a cloud-based tour and production management platform with a health and safety infrastructure. May 2021 we launched and by September 2021 the system had worldwide deployment. All design, go-to-market, partnerships, and engineering were complete in a very tight seven months timeline, starting in December of 2020.

Currently in 2024 GhostTech is used by Gabriel “Fluffy” Iglesias, the Arctic Monkeys, The Last Shadow Puppets, Cage the Elephant, and Queens of the Stone Age.

An in-depth adaptable strategy: that allowed us to create standards and practices for live events: curated by medical professionals, and safety experts.

Advanced contact tracing: the integration and strategic partnership with SaferMe allowed GhostTech to use their technology for contact logging, creation of interaction data for select admins, and create customizable workflows to trigger real-time alerts via email to SMS.

App + Wearable: a native app was built for iOS and Android while an easy to use and enforceable wearable allowed users to maintain safety and compliance.

KISS Method

Our analysis of our competition still set up their homepages and advertising as tour software. We differentiated outselves by keeping the Ghost Tech homepage a simple onepager that spoke about our health partners and how we keep you safe to restart touring.

The Ghost Tech website is kept as a simple one-pager that allows access to the Ghost Portal. The overall methodology was to give credence to platform to differentiate from it’s competitors. No other touring platform has the Ghost Tech technology nor are they partnered with OSHA, IATA, UCLA, and the CDC.

Complexity & Permissions

The Ghost Tech platform we named Ghost Portal and use interchangeably. This is a massive, always-on, cloud platform. Here you can see the levels of integration, the platform to platform communication between Ghost Portal and SaferMe as well as the fifteen levels of permissions that need to be granted depending on the size and complexity of each venue and tour.

Onboarding

The portal onboarding allows artists, crews, management, and executives to easily access their permissioned role within the system using a few simple prompts and inputing their contact information as well as a head shot.

Onboarding with Clear

We partnered with Clear for front-of-the house audience and crew health and identify verification.  This established a protocol for entering venues or arenas.

Health & Safety

For comprehensive venue verification we connect with Sharecare. This allowed the location of the concert, show, et al itself to be verified as a Sharecare VERIFIED® with Forbes venue.

SaferMe

We partnered with an integrated SaferMe’s real-time contact tracing technology that allowed for rapid, live, COVID testing. This gave artists, venues, and crews the peace of mind that their team is healthy.

Docs, Financials, and Security

Organizing a tour itself is another big pain-point. The video below shows how touring preferences for travel, rider requests, etc is done within the ease of multi-layered dashboards with interconnected flows.

Within the Financial Info tab all receipts – with tagging and accounting can be handled all within the portal. An industry first. All of the data is secured and shared on a need to know basis based upon permissions.
